How do I forecast how full a date will actually end up from booking-pace data, and when should I downgrade my expectations?
Compare current booking pace against your same-period prior-year pace curve, adjusted for any demand shifts in the market. When pace runs persistently behind that benchmark across multiple consecutive tracking periods, downgrade your occupancy forecast and act on rate before the window closes.

Building a Reliable Pace Baseline
Your baseline should reflect bookings-on-hand at each day-out interval for the same seasonal period across prior years, not just last year alone. A single anomalous year skews your read badly, so blend at least two to three comparable years where possible. Flag dates where the prior-year baseline was itself distorted by a one-time event so you are not chasing a false target.
Reading the Signals That Demand a Forecast Downgrade
Sustained pace lag is the clearest trigger: if a date is running behind baseline at the 90-day, 60-day, and 45-day marks without acceleration, the market is telling you something about demand ceiling, not just timing. Also watch lead-time compression in your confirmed bookings: if the mix is shifting heavily toward last-minute reservations, gross occupancy may land close to forecast but ADR will underperform. Downgrade your revenue projection, not just your occupancy number, when that pattern emerges.
Translating the Forecast Into Pricing Decisions
Once you downgrade a date, move rate decisively rather than in small defensive increments. Hesitant rate reductions at the 30-day mark rarely recover enough bookings to matter if demand is genuinely soft. Prioritize filling those dates at a realistic rate over protecting a rate position the market has already rejected, and document the decision so you can refine your trigger thresholds for future cycles.
